The post Creating candidate profiles, wasted time in recruitment… appeared first on Recruitment Software for Recruitment Professionals | HRS.
]]>Manual data entry and repetitive admin tasks sit at the top of most recruiter’s day-to-day frustrations. In a recent survey by Hitachi Capital Invoice Finance 63% of recruiters listed their ‘worst nightmare’ as spending too much time on administrative tasks1. A problem echoed in Sales roles, as highlighted in HubSpot’s 2014-2015 State of Inbound; Sales Edition Report, with over 20% of professionals highlighting data entry as their top CRM challenge2.
According to Recruiting Intelligence an average of 1,000 individuals will view a recruiter’s job post, 200 will begin the application process, 100 will complete the process, 75 applicants will be screened out, with only 25 of the original 100 making it to the hiring managers desk3.
Numbers will obviously vary dependant on the industry, the core requirements, hiring manager’s expectations etc. but let’s work with these metrics from Recruitment Intelligence for the scenario outlined below.
Quality, up to date and accurate data is essential in successful recruitment, the best candidates to engage quickly are those already in your database. A complete and current candidate record enables placements to be made far more efficiently. With 100 CVs landing in a recruiter’s inbox for every open position a database of potential candidates for future positions can quickly be built up.
A complete candidate profile is comprised of:
Essentially almost all of the information required should be present in a candidates CV / application. The challenge is efficiently transferring the 100 applicants details into your recruitment software.
Having to copy and paste 100 names, contact details, work history etc. is a simple task but a time consuming one. If it only takes 60 seconds to create each candidate record a recruiter has still spent well over an hour and a half populating the database, not an efficient use of time. Within those 100 minutes a recruitment professional could have…
A task so intrinsic to recruitment such as the creation of candidate records has to be automated… which is where CV parsing comes in; the process of breaking information (CVs / applications) down into smaller chunks so that they can be transferred to a new destination (a database).
The ability to bulk upload CVs in seconds from Word documents, PDFs and emails will increase recruitment efficiency and the morale of sales employees as one of their biggest grievances is resolved.
With HRS’s built-in CV parsing technology candidate records are created and updated as new information is parsed into the system. If there is a duplicate then our intelligent automation alerts users of candidates already in the database. This helps keep vital candidate data clean and accurate.
Once the parse has been completed you have a useful, searchable record for open and future roles. In addition to parsing technology HRS’s formatted CV creator quickly generates client ready PDFs. This keeps a consistent brand across all of the CVs you send in addition to stripping out information that could be used by unscrupulous clients/ candidates, therefore preventing backdoor placements.

]]>If you are looking to change recruitment software it is expected that a new system will help you find, engage and place more candidates. It should seamlessly manage the entire recruitment workflow, incorporating CRM, applicant tracking, social media and marketing tech. (If it doesn’t, why move?)
Working with recruitment businesses of all shapes and sizes we have found that taking on new recruitment software has helped recruitment professionals in ways they did not expect before making the move. Adopting new recruitment software provides a great opportunity to:
Review workflows
At its’ core recruitment still provides the same service, matching the right people with the right companies. However, the road to fulfilling this has changed significantly since the birth of recruitment due to changes in society and advances in tech.
Today social media, triggered events, data and analytics play an increasingly important role in recruitment. These new technologies have changed the recruitment workflow, helping recruiters engage candidates more efficiently.
Modern recruitment software is designed with the modern recruitment workflow in mind. When was the last time your practices were reviewed? As mentioned at LinkedIn Talent Connect, a small change can make a world of difference in talent acquisition. Review your recruitment workflow in tandem with new software, determine if anything that could be improved.
Training and direction
The implementation of new recruitment software will mean setting aside sometime for staff training of the system (HRS training options). Coupled with a review of recruitment workflows the implementation of new software provides a great opportunity to outline the vision of the business and train/retrain employees on key matters.
Increase motivation and morale by getting employees onboard with the long-term goals of the business.
Clean your data
Moving to a new system provides a great opportunity to clean client and candidate data. You may have a database containing tens of thousands of records but how many are current? How many contain old contact details or out dated CVs?
Before moving to a new system take the time to review your database. Use email, SMS, social channels and the phone to reach out to candidates for up to date information. A candidate record for a Graduate 5 years ago is likely to be of little use today if it has not been updated.
Clean and relevant data will make a recruiter’s life easier, it will maximise the likelihood of getting the right jobs in front of the right candidates.

]]>HRS are often asked how the business was formed and how the company continues to grow in a highly competitive market.
As part of the ‘Human Capital and Technology’ series The Telegraph Business Club stopped by to find out how HRS has grown the business, building a client base, much of it organically through word of mouth.
Built for recruiters by recruiters, HRS is software tailored to an industry that its founding team knows extremely well. Coming from a background in recruitment himself, Carl Holst-Roness realised there wasn’t a system to suit his needs and, having spotted this gap in the market, developed one himself.
Seeking further investment, he teamed up with Eldon Jobe whom, as an early customer and user of the software, understood the true power and benefits of HRS in managing recruitment workflow.

]]>The post Questions to ask recruitment CRM / ATS providers before making a decision appeared first on Recruitment Software for Recruitment Professionals | HRS.
]]>Speaking to recruitment professionals on a daily basis I hear a lot of horror stories from users that have rushed into signing with a software provider that isn’t the right fit for their business or style of recruiting. In this blog I share with you a few key questions to ask to help ensure you make the right decision.
How will the solution help me make more placements?
Recruitment technology should make a recruiters job easier. Don’t get distracted by industry buzzwords or supposed cutting edge features. Potential systems should help you engage new candidates and clients whilst helping you get the most from your current data. Ask providers which features will help you find, engage and place more candidates. Get a walk through of potential products and focus on the areas of the software you will use on a day-to-day basis.
How is often is the system updated (… and what is the cost)?
Recruitment (as we know it today) has been around since the late 1930s. During this time the industry has gone through major changes as a result of economic ups and downs and advances in technology. Today the practice of finding, connecting and engaging candidates is very close to that of a modern day digital marketer. As a result features in recruitment solutions are crossing over with those in marketing software. The ability to integrate social channels, email and run detailed live reports is helping recruiters work more efficiently.
The point being recruitment is an ever-evolving industry, make sure your recruitment tech works today and has everything in place to work tomorrow. Ask how often is the solution updated and how well the provider knows the recruitment industry.
How is the solution supported, secured and backed up?
You have found a provider that regularly updates their solution and that helps your business with its mission to match great candidates with great companies. The next step is to make sure the solution is properly supported and backed up. Cloud software allows you to access your client and candidate data across multiple devices from almost anywhere in the world, but it does mean a third party manages your data.
Find out who manages your data, how often and when it is backed up, and who owns the rights to it.
Above are just three questions you should ask, there are many more that need answering before making a decision that can have a significant impact on your business. If you have any questions of your own let me know by leaving a comment below. If you want to find out if HRS recruitment software is the right fit give me a call on +44(0) 203 4755 775 or email zak@getHRS.com.

]]>The post 6 reasons Excel doesn’t cut it as a recruitment CRM / ATS appeared first on Recruitment Software for Recruitment Professionals | HRS.
]]>Since its introduction in 1985 Microsoft Excel has become one of the go to applications for all manner of business / data related tasks. Straight out of the box Excel is a great tool for storing and sorting relatively uncomplicated data and with advanced knowledge Excel is capable of much more. But is it capable of effectively managing the requirements of a modern day recruitment professional?
1. Data storage, presentation and search
Excel can store a massive amount of simple data (4.3808666e+12 cells!). The quantity of data Excel can store is not the issue it is the type of data, the way data is presented and the search-ability that limits recruitment professionals.
Ideally every candidate in your database will have a CV linked to his or her profile, which will need reformatting before sending to companies. Dependent on the position they may also have other documents such as a portfolio. If you are working from Excel you will need to jump between multiple programmes and have an extremely organised filing system to avoid misplacing vital information. As new candidates register data will quickly accumulate making it increasingly difficult to find what you need, when you need it.
Create an Excel spreadsheet with several thousand populated rows and try searching / scrolling. Be prepared to wait as your computer catches up.
2. Collaboration and privacy
Companies with multiple recruiters often utlise Cloud storage applications such as DropBox to share documents. Standard Excel documents are limiting as they can only be edited by a one user at a time. Documents downloaded from Cloud storage, edited and then placed back onto the network often result in lose of data as changes from users are overwritten.
At times you may want to hide specific data from a selection of users. Within Excel you can password protect individual sheets but this is no guarantee the data is secure. A simple Google search will reveal free downloads that can bypass Excel’s password protection. A potential issue if you are using Excel to store sensitive information.
3. Data back up and recovery
As client and candidate data is integral to the success of recruitment, it is vital information is backed up regularly. Excel’s Auto-save functionality can back up data as you work but does not safeguard your data. What happens if the file corrupts or the machine you use crashes, or worse, stops working completely?
Backing up and recovering data when using Excel will require setting up a shared network or relying on more manual methods such as email and external hard drives.
4. Analytics and reporting
Advanced reporting and analytics helps recruiters make informed business decisions, they also help identify potential problem areas before they become an issue.
As a senior recruiter or team leader you may want to monitor the performance of staff on an ad hoc basis. Within a standard Excel workbook this is not possible without advanced understanding of key functions and formulas.
5. Admin and repetitive tasks
Inputting data to Excel can be a time consuming, manual process. If 20 new candidates register with your business 20 sets of data have to be input, 20 CVs have to be formatted and filed. The lack of automation within Excel can cause recurring tasks to take over a working day, ultimately reducing the number of deals closed
6. Integrations and workflow
Chances are if you use Excel to store data you will be using a word processing application to keep notes in addition to your calendar and an email application to manage communications.
The more time you switch between packages the more time you waste. As recruitment continues to evolve you will become increasingly reliant on multiple applications. This will create a disjointed and complex workflow, which will increase the likelihood of mistakes.
Excel is a great application that does have an array of uses within the world of business, however it is not cut out to manage the modern day recruitment workflow.
At HRS we develop recruitment software for recruitment professionals. Our solutions allow you to manage the entire recruitment workflow from a single, powerfully integrated system. With features including key task automation, intelligent CV parsing, social media and job board connectivity, powerful LinkedIn integration and two-way email management HRS is proven to drive efficiency and increase profitability.
